Appealing Academic Standing

The Senate Committee on Student Appeals on Academic Standing

A detailed description of this Committee exists in the UBC Calendar. A student may appeal an academic decision made within a faculty regarding such issues as a grade or a promotion to the next level of studies. However, the University recommends that a student attempt to resolve academic standing issues within the faculty prior to filing a senate appeal. Faculties tend to have more flexibility and discretion regarding a students academic standing and, thus, it is in your best interest to resolve the issue within the faculty. The Ombuds Office will provide students with support and assistance when negotiations with the faculty are still possible.

If you decide to file an appeal with the Senate Committee on Student Appeals on Academic Standing, you must submit a notice of intent to appeal to the Registrar within 10 business days of receiving the faculty’s final decision. (Please refer to sample notice of intent to appeal below.) The Registrar will then send you a copy of the senate regulations. After receipt of the senate regulations, you have 15 business days to submit a statement of appeal to the Registrar, containing (as per the UBC calendar):

  1. A statement of the decision from which the appeal is being taken;
  2. A statement of the relief which the appellant seeks;
  3. A brief chronological statement of the circumstances relating to the appeal;
  4. Copies of any documents which the appellant intends to rely on at the hearing;
  5. The names of any witnesses the appellant proposes to call at the hearing.

Students may request an extension of deadlines to the Registrar who has the discretion to grant such a request.

The UBC Calendar states that six faculty members, three students, and two non-faculty members and non-students (such as University staff) comprise this Committee. This Committee will only hear appeals of faculty decisions and will not allow an appeal where the faculty’s academic judgment is the only point at issue.

The strongest grounds for appeal with this Committee tend to be that relevant information was not considered or that information that ought not to have been considered was considered. If this Committee allows an appeal, it may decide to refer the matter back to the faculty or it may dispose of the matter itself. The Senate Committee on Student Appeals on Academic Standing always provides written reasons to appellants for its decisions.
